Start with users, devices and locations
Prepare a count of staff, computers, servers, shared workstations and offices. Include people who work from home and applications that require special support. An office using cloud email and a few laptops has different needs from a practice with local servers, shared computers and several vendors. Ask whether the proposal is priced per user, per device or for the whole environment, and how hiring changes the bill.
Compare the included work
A managed IT service plan should explain the scope of help desk support, monitoring, updates and documentation. Ask about support hours, how urgent issues are handled and when an on-site visit is included. A low monthly number is less useful if the work you need is billed separately.

Do not assume that a cloud subscription includes an independent backup of all your business data.
Identify projects and one-time charges
Onboarding, server replacement, office moves, cloud migrations and major network repairs may be separate projects. Request an explanation of what must be fixed before ongoing support starts. Record the expected one-time work alongside recurring service and licensing costs so you can compare the total first-year commitment. Check the term, renewal process, cancellation notice and any minimum commitment. Ask who owns administrator accounts, documentation, domains and backup data. A busy front desk may care most about fast employee support and dependable phones. A professional firm may need stronger access controls and secure file sharing.
