Choosing a business phone system: what to plan before you switch

A new phone system should make it easier for customers to reach the right person. Most frustrating rollouts come down to the same thing: the system was chosen by feature list instead of by how calls actually move through the business.

Start with how calls flow today

Before comparing systems, write down what happens when someone calls. Who answers first? What happens after hours or at lunch? Which calls go to a group, and which go to one person? That call flow becomes the blueprint for the new system.

Count users and devices

List everyone who needs a number or extension, and how they work: desk phones, computer softphones, mobile apps or a mix. Remote and on-the-road staff often get the most benefit from a modern system, so plan for them from the start.

Plan the number transfer

You can usually keep your existing numbers by transferring (porting) them to the new provider. The request needs accurate account details from your current carrier, so gather those early. Don't cancel the old service until the transfer is complete, or you risk losing the numbers.

Check your internet connection

Internet-based phone systems depend on your connection. Make sure there's enough capacity for calls alongside everything else. Ask whether your network equipment can prioritize voice traffic, and consider a backup connection if phones are critical to your business.

Pick the features that matter

Don't forget emergency calling

Make sure 911 calls from your phones report the correct location, including for staff who work from home or move between offices. Confirm how addresses are registered and updated.

Roll it out in steps

Set up and test call flows before the switch. Train staff on the few features they'll use every day, schedule the cutover for a quiet time, and have someone ready to fix issues on day one.
